Note: Object security is respected in Prescribed views. Although Prescribed views let subscribers see the items and people that are tagged by other user and groups (members), subscribers will not be able to see items and people that they do not have access to.

Creating and Editing Prescribed Views

You must have the Create Views capability to create and edit a view, and the Prescribe Views capability to prescribe a view. You must also have Select access to the users and groups you want to add as members and subscribers of your Prescribed view.

To create a Prescribed view:

  1. Navigate to the Search page (Enhanced Mode).

  2. Click the View drop-down list.

  3. Perform one of the following:

  4. (optional when editing a Prescribed view) In the Name box, type the name of the view.

  5. (optional when editing a Prescribed view) Perform the following:

    1. Click the Members tab.

    2. Click Add to launch the Select Users and Groups dialog box.

    3. Choose the users or groups whose My Tags views you want to expose to the subscribers of this view.

    4. Click OK.
      You are returned to the View Editor.

  6. (optional when editing a Prescribed view) Perform the following:

    1. Click the Subscribers tab.

    2. Click Add to launch the Select Users and Groups dialog box.

    3. Choose the users or groups to whom you want to prescribe this view.

  7. (optional) To remove a user or group, highlight the users and groups that you want to remove, then click Remove.

  8. Click Save.

Deleting Prescribed Views

You must have the Prescribe Views capability to delete a Prescribed view. Additionally, you can only delete Prescribed views that you create.

When you delete a Prescribed view, it is deleted for all subscribers of the Prescribed view. You cannot delete a Prescribed view that was created by another person.

To delete a Prescribed view:

  1. Navigate to the Search page (Enhanced Mode).

  2. Click the View drop-down list.

  3. Click next to the Prescribed view that you want to delete.
    A confirmation box appears.

  4. Click OK.
